How to Let Admins Score Quantitative Criteria Separately — Admin Scoring Guide

admin scoringquantitative evaluationjudging automationhackathon

To let admins input quantitative evaluation scores separately, use evaluate.club's Admin Scoring feature. (1) Add an "admin-only section" to your evaluation form, (2) have reviewers complete only the qualitative evaluation, and (3) let admins bulk-enter quantitative scores from the results dashboard. Final rankings are calculated automatically. This approach separates qualitative and quantitative evaluation while displaying unified results on a single leaderboard.

Why Separate Quantitative from Qualitative Evaluation?

Most evaluations involve two distinct types of scoring. Qualitative evaluation is where reviewers subjectively assess presentations, completeness, and creativity. Quantitative evaluation is where objective metrics like revenue, patent counts, and technology readiness levels (TRL) are scored.

Assigning both to the same reviewers creates problems:

  • Reviewers interpret quantitative data differently, leading to high score variance
  • Quantitative data may not be finalized by review day, delaying the entire schedule
  • Bonus points (e.g., women-led business, social venture) should be assigned by operations staff, not reviewers

Admin Scoring solves these problems. Reviewers focus exclusively on qualitative criteria, while admins input quantitative scores separately. The system combines both automatically.

Step 1: Add Admin-Only Sections to Your Form

When creating an evaluation form, configure sections in Step 3 (Evaluation Criteria).

How to Set Up

  1. In the form editor, click "Add Admin-Only Section"
  2. Enter a section title (e.g., "Quantitative Evaluation", "Bonus Points")
  3. Set the item name and maximum score for each question

Quantitative evaluation section example:

  • Section title: Quantitative Evaluation (35 points)
    • Patent holdings (max: 10)
    • Revenue performance (max: 15)
    • Technology readiness (max: 10)

Bonus points section example:

  • Section title: Bonus Points (5 points)
    • Women-led business bonus (max: 3)
    • Social venture bonus (max: 2)

You can add multiple admin-only sections. Separating quantitative evaluation and bonus points into different sections makes result analysis clearer.

Key point: Admin-only sections are completely hidden from reviewers. Reviewers will only see the regular sections for qualitative evaluation.

Step 2: Run the Reviewer Evaluation

Once the form is created and evaluation links are shared with reviewers, they will only see regular sections.

For example, if the form has 3 sections:

  • Qualitative Evaluation (90 points) — Scored by reviewers
  • Quantitative Evaluation (35 points) — Hidden from reviewers
  • Bonus Points (5 points) — Hidden from reviewers

Reviewers score based on the 90-point qualitative scale only. They are completely unaware of the quantitative evaluation and bonus point sections, allowing them to focus on pure qualitative assessment without being influenced by quantitative data.

Step 3: Enter Admin Scores from the Results Dashboard

After reviewer evaluations are complete, admins enter quantitative scores from the results dashboard.

How to Enter Scores

  1. Navigate to the Results Dashboard
  2. Two tabs appear at the top: "Team Leaderboard" | "Admin Scoring"
  3. Click the "Admin Scoring" tab
  4. Tables are displayed for each admin-only section
  5. Enter scores for each team by item
  6. Click "Save All"

Score Entry Interface

The admin scoring table is organized by section:

  • Rows: Teams being evaluated
  • Columns: Individual question items + subtotal
  • Modified rows are highlighted in yellow for easy change tracking
  • Scores are automatically clamped between 0 and the maximum score

All teams' scores can be entered from a single screen, allowing you to compare fairness across teams while assigning scores. Scores can be modified at any time after saving, and all changes are recorded in the audit log.

How Final Scores Are Calculated

Once saved, integrated results are visible on the "Team Leaderboard" tab.

Final Score = Qualitative Score + Admin Score

Component Calculation Method
Qualitative score Average / trimmed mean / maximum of reviewer scores (configurable)
Admin score Sum of admin-entered quantitative + bonus point scores

For example, in an evaluation with a total of 130 points (qualitative 90 + quantitative 35 + bonus 5):

  • Team A: Qualitative 85.0/90 + Admin 30/40 = 115.0 / 130
  • Team B: Qualitative 78.5/90 + Admin 38/40 = 116.5 / 130
  • Team C: Qualitative 82.0/90 + Admin 25/40 = 107.0 / 130

The leaderboard shows each team's score breakdown, making it transparent how qualitative and quantitative evaluations contribute to the final ranking.

Results can be exported as PDF and Excel, with admin scores included as separate columns.

Frequently Asked Questions (FAQ)

How many admin-only sections can I add?

There is no limit. Add as many as you need. Separating sections by purpose — quantitative evaluation, bonus points, special assessment — makes result analysis clearer.

Can reviewers see admin-only sections?

No. Admin-only sections are completely hidden from reviewers' evaluation screens. Reviewers only see and score the regular sections.

Can I modify admin scores after saving?

Yes, you can modify them at any time. Both the previous and new scores are recorded in the audit log, providing a full change history.

Does the scoring method (average, trimmed mean, maximum) apply to admin scores?

No. The scoring method applies only to qualitative reviewer scores. Admin scores are added as-is. Unlike qualitative evaluation, which aggregates multiple reviewers' opinions, admin scores are definitive scores entered by a single admin.

Can I export admin scoring results to PDF or Excel?

Yes. Admin scores are included as separate columns in exports. Qualitative section scores, admin scores, and final scores are all organized in a single table.
